Terms & Conditions — Constellation Mental Health Services
Effective date: February 1, 2026

1) Not an Emergency Service
Our services and website are not for emergencies. If you are in crisis or considering harm to yourself or others, call 911 or 9-8-8 (Canada Suicide Crisis Helpline), or go to the nearest emergency department.

2) Acceptance of Terms
By accessing our website or using our services, you confirm you have read and agree to these Terms and to our Privacy Policy. If you do not accept these Terms, please discontinue use of our services.

3) Scope of Services & Professional Standards
We provide psychological and mental-health services within our clinicians’ competencies and licenses. Services are not medical advice and do not replace medical care. Care is delivered in accordance with applicable laws, regulations, and professional standards.

4) Licensing, Location & Telehealth
We provide services to clients who are physically located in jurisdictions where our clinicians are licensed at the time of service. For virtual sessions, you agree to disclose your physical location at each appointment and to be in a permitted jurisdiction. Telehealth involves benefits and risks, including possible technical failures and privacy limitations. If technology fails, we may switch to telephone or reschedule. Recording sessions is prohibited by either party unless we both agree in writing.

5) Privacy

6) Communication (Email, SMS, Client Portal)
We may send administrative communications (for example, scheduling, reminders, billing) by email and SMS. Message frequency may vary and message/data rates may apply. Do not use email or SMS for urgent or clinical issues. To opt out of SMS, reply STOP; for help, reply HELP or visit our website. Please avoid including sensitive clinical details in emails, texts, or payment notes.

7) Billing, Payments & Cancellation
Invoices are due on receipt unless otherwise stated. Pay online by card using the Pay Now link on your invoice, or by Interac e-Transfer to payments@constellationmentalhealth.ca with “Invoice # and Client Name” in the message. Appointments canceled less than 24 hours before start time or missed may be charged a $50 late-cancel/no-show fee (non-insured). Applicable taxes (e.g., GST/HST) are applied as required by law. 8) Client Responsibilities
You agree to provide accurate information, to participate from a private setting, and to inform us promptly of changes in contact details, medications, or risk. We are committed to a respectful, professional environment and expect mutual courtesy in all interactions. We may decline or end services if conduct compromises safety or violates these Terms.

9) Accessibility
We strive to make services accessible. Contact us to request reasonable accommodations.

10) Confidentiality & Records
We maintain confidentiality consistent with legal and ethical standards. Limits include risk of harm, child protection, court orders, or regulatory complaints. We maintain clinical and billing records as required by law and regulatory standards.

11) Minors, Consent & Guardianship
When services involve minors, consent must be provided by a legal guardian unless the minor is legally authorized to consent to their own care. In custody or guardianship disputes, we may require documentation before services proceed. Parent participation and information-sharing are guided by the best interests of the child, clinical judgment, and applicable law.

12) Website Content & Intellectual Property
Website content is provided for general information and education only and does not create a therapist–client relationship. All content on our website is owned by Constellation Mental Health Services or its licensors and may not be used without permission.

13) Third-Party Links & Tools
Our website may link to third-party sites or use third-party tools (for example, payment processors and video platforms). We are not responsible for the content, security, or practices of those third parties.

14) Dispute Resolution & Governing Law
We aim to resolve concerns directly. If unresolved, the parties may consider mediation or arbitration in Alberta, Canada, subject to non-waivable rights (including the right to file a complaint with a professional regulator). These Terms are governed by the laws of Alberta, Canada.

15) Termination
We may pause or terminate services if behaviour violates these Terms or safety standards, if services fall outside our scope, or if conflicts of interest arise. We will provide referrals where appropriate.

16) Changes to These Terms
We may update these Terms from time to time. The effective date will change when updates are made. Continued use after updates means you accept the revised Terms.
