Billing & Cancellation Policy

Effective: September 24, 2025
Constellation Mental Health Services (“Constellation,” “we,” “our”) aims to make billing simple, transparent, and respectful of your time.

How you can pay
1. Online card. Use the Pay Now button on your invoice to pay by credit/debit (Apple Pay / Google Pay where available). A receipt is issued immediately.
2. Interac e-Transfer (Canada). Send to payments@constellationmentalhealth.ca
Autodeposit is enabled—no security question needed. Please include Invoice # and Client Name in the message. We mark invoices paid within 1 business day of receiving your transfer.
Please do not include clinical details in payment messages.
Payment terms
Unless otherwise stated, invoices are due on receipt. Invoices are issued after a session (or when a service is marked complete). Receipts are emailed automatically when payment is received. If you need a payment plan, email billing@constellationmentalhealth.ca
before the due date.

Cancellation & rescheduling
No fee when you cancel or reschedule 24 hours or more before your appointment.
Late cancel / No-show: Appointments canceled less than 24 hours before start time or missed may be charged $50 (non-insured).
To change an appointment, use your booking link or email admin@constellationmentalhealth.ca
Emergencies or sudden illness will be considered for exception at our discretion.

Assessment deposit
A non-refundable $200 deposit is required to hold assessment bookings. The deposit is applied to your final assessment invoice. If Constellation cancels and cannot offer a comparable alternative time, the deposit will be refunded.

Insurance & receipts
We cannot guarantee direct insurance billing as only some insurance providers are set up for this. You are responsible for any unpaid balance. Receipts include provider credentials and service details for your submission to your plan. Coverage varies by plan; please confirm eligibility with your insurer.

Taxes
Applicable taxes (e.g., HST/GST) are applied to taxable services/items as required by law based on your location at the time of service.

Overdue invoices
Friendly reminders may be sent for unpaid invoices. If an account remains unpaid, non-urgent services may be paused until payment is arranged.

(Autodeposit).
Message: Invoice # + Client Name.
Processing: allow 1 business day for us to mark paid.

Email billing@constellationmentalhealth.ca within 7 days if you spot an error or need help. For privacy, please avoid including sensitive clinical details in emails or payment notes.
